Public Relations Intern

What you’ll do:

No two days are the same, but your key responsibilities include:

  • Monitor and track media and influencer coverage in real-time
  • Develop and update meeting agendas and status reports
  • Manage research, reporting and measurement for clients, under supervision
  • Research and order materials for client programs, as required
  • Prepare briefing notes for clients, as directed
  • Develop and maintain work back schedules / critical paths
  • Create and update media and influencer lists, under supervision
  • Develop and maintain editorial calendars as required based on project needs
  • Develop media materials first drafts (e.g., social media copy, news releases, media pitches, etc.) and conduct media/influencer outreach and follow-up
  • Coordinate media materials distribution
  • Proofread communications materials
  • Participate in creative brainstorm sessions for existing clients, new business prospects and internal purposes
  • Assist with special events and event planning
  • Other administrative duties as required and assigned
  • Note: Computer proficiency in a variety of programs is required, notably Microsoft Office (Outlook, Word, PowerPoint, Excel, Teams)

  • Location: 155 Queens Quay E, Toronto, ON M5A 0W4 (Hybrid work environment)

Role Overview

We’re seeking an Account Coordinator to join our team. This junior level role is responsible for supporting exceptional client service and account management; executing tasks and assignments thoughtfully and on-time; having an open-mind and being willing to learn. Responsibilities include but are not limited to:

Project Management

  • Support work back schedule and status tracker updates; draft hot lists
  • Provide timely updates to support the team with project oversight and execution
  • Prepare for meetings as per the agenda, take meeting notes and share with the team, when necessary and support meeting set up and clean up as needed

Account Management

  • Support exceptional client service – anticipate team needs and be adaptive to changes and/or last minute assignments
  • Manage deliverables and prioritize effectively to consistently meet deadlines; ask for guidance with competing priorities
  • Participate in internal ideation and brainstorm sessions and share ideas; support strategic plan development through research, deck formatting, etc.
  • Support client and business policies (e.g. travel policies, PO policy, vendor sourcing, etc.)
  • Support results tracking, measurement and reporting

Execution

  • Demonstrate ownership of assignments and work; proactively provide updates
  • Consistently deliver quality, client-ready work that is thoughtful and considers all aspects of the direction and resources provided
  • Apply critical thinking and resourcefulness on a daily basis – e.g. strive to answer questions before asking, proactively share solutions to challenges
  • Prepare meeting contact reports for review
  • Take a best shot at first-time tactical execution activities; seek advice when unsure or want to gut-check
  • Draft content such as media materials, media and influencer briefs, radio scripts, pitches, research summaries and more
  • Execute research including insights, vendors and more as assigned; new vendor set ups; open POs; process invoices
  • Support media relations activities including media list development, release distribution, outreach, liaison and reporting
  • Support influencer relations activities including identification, vetting, outreach, content tracking and reporting
  • Assemble mailers, support distribution and inventory tracking
  • Support event logistics and execution including research, briefing book updates, etc.
  • Use monitoring and social listening tools to track results and develop results reports
  • Own media monitoring activities
  • Other tasks as needed or assigned

Required Experience, Skills and Abilities

  • 0.5-2 years’ experience (including internships) in communications/ public relations; agency experience is preferred
  • A degree or certification in Public Relations or Communications is preferred
  • Demonstrate responsibility and sound judgement
  • Attention to detail; commitment to accuracy and quality
  • Self-motivated with a desire to learn and a commitment to personal career growth
  • A natural curiosity with a pulse on the latest trends
  • A team player with strong interpersonal skills
  • Time management skills with an understanding of the need to and desire to learn prioritization and ability to meet deadlines
  • Understanding of PR writing structure and requirements
  • Solid Microsoft Office (e.g. Word, PowerPoint, Excel, Outlook and Teams) skills
  • Familiarity with industry tools such as Brandwatch, MRP and Cision, is an asset

Role Overview

We’re seeking a Senior Consultant to join our team. This mid-level role is responsible for: delivering exceptional client service, including daily client liaison; account and project management; budget tracking; managing up and down; and bringing solution-oriented critical thinking each and every day. Responsibilities include but are not limited to:

Project Management

  • Develop and manage detailed work back schedules, client status trackers, hot lists and client updates
  • Flag internal and/or client delays to ensure deliverables are on time
  • Provide timely updates to support senior team members with project oversight

Account Management

  • Deliver exceptional client service – think like a client to anticipate their needs and be adaptive to changes and/or last minute assignments
  • Participate in client briefings and brainstorms and support the account lead with strategic plan development, presentation and execution
  • Lead programs and/or elements of integrated programs with senior oversight
  • Actively participate in client status meetings
  • Develop and manage hard cost budget trackers to help ensure programs are executed within budget
  • Ensure client and business policies are followed (e.g. travel policies, PO policy, vendor sourcing, etc.)
  • Manage results measurement and reporting

Execution

  • Consistently deliver quality, client-ready work that is thoughtful ensuring client asks, objectives and preferences are considered and solutions presented for challenges
  • Provide thoughtful tactical oversight and coach junior team members throughout all aspects of the execution process
  • Draft content such as media materials, media and influencer briefs, radio scripts, thoughtful client updates and recommendations, and more
  • Own vendor, partner agency, media and influencer relationships
  • Support media relations activities including strategic approach, media list development or oversight and outreach
  • Support influencer relations activities including identification, client presentation, negotiations and content management
  • Event logistics and execution
  • Other tasks as needed or assigned

Required Experience, Skills and Abilities

  • 3-6 years’ experience in communications/ public relations; agency experience is mandatory
  • A degree or certification in Public Relations or Communications is preferred
  • Demonstrated critical thinking skills with an ability to make decisions and problem solve using sound judgment
  • Demonstrated media, social media and influencer relations skills
  • Self-motivated with a strong willingness to learn and commitment to personal career growth
  • A natural curiosity with a pulse on the latest trends
  • A team player with strong interpersonal skills
  • Good project manager with the ability to prioritize tasks and meet deadlines
  • Strong storyteller with the ability to develop written content, creative briefs and other content as required
  • Solid Microsoft Office (e.g. Word, PowerPoint, Excel, Outlook and Teams) skills
