Account Coordinator

 

Are you a recent grad with a degree in communications or public relations? Do you have experience with (or a keen interest in) media relations, social/digital engagement, influencer relations and events? Then you just might be right for our team!

We’re growing, and our team is looking for another great communicator to join the team. The account coordinator will be passionate about communications and the opportunity to learn and develop their communication skills. They will work on client programs under the direction of an account lead and other team members.

Strong organization skills and attention to detail, including the ability to prioritize and multitask, as well as the ability to work independently, proactively and manage multiple deadlines concurrently are essential. And, of course, as a budding Idea Architect, they’ll be expected to share ideas openly and confidently in meetings and brainstorms.

A day in the life of an Account Coordinator

No two days are the same, but your key responsibilities include:

Account Coordination and Administration

  • Conducts background research on suppliers to secure quotes and other information needed for account work and to ensure product or service meets client needs
  • Prepares briefing notes for clients as directed
  • Develops and maintains critical paths
  • Works proactively to complete assigned tasks on time and within the hours allocated
  • Builds and maintains relationships with key stakeholders internally and externally
  • Tracks and records hours accurately and in real time
  • Actively participates in meetings and brainstorms for existing clients, new business prospects and internal purposes
  • Proactively manages relationships with supervisor and fellow team members
  • Presents work and ideas at team meetings

Client Service

  • Takes ownership of developing and updating meeting agendas and status reports
  • Strong awareness of industry news and trends, including those relating to client competitors, continuing to hone and develop research skills and familiarity with industry tools such as Brandwatch, MRP and Cision
  • Monitors and tracks media and social coverage in real time
  • Manages research, reporting and measurement for clients, under supervision
  • Assembles mailers, including researching and ordering various elements for inclusion and packaging

Media & Influencer Relations

  • Develops and maintains familiarity with media and influencer landscape, including specific outlets, biogs, reporters in Canada as they relate to client work
  • Demonstrates strong understanding of various social media platforms
  • Identifies influencer partners for programs and campaigns
  • Manages creating and updating media and influencer lists
  • Develops and maintains editorial calendars as required based on project needs
  • Develops media materials, conducts ongoing media/influencer outreach and follow-up
  • Coordinates distribution of media materials via newswire services

Event Planning & Execution

  • Develops briefing materials and assemble event kits
  • Conducts research on venue options and suppliers, stays abreast of competitor activations
  • Provides on-site support, as required

Writing

  • Develops first drafts of materials including social copy, pitches, fact sheets, bias and memos
  • Demonstrates strong proofreading skills

What you’ll bring

  • Post-secondary degree or diploma in a relevant subject area (e.g., public relations, media relations or communications)
  • Six months to one year of work experience in a similar position, including internships
  • Demonstrates advanced computer proficiency in a variety of programs, including Microsoft Office (Outlook, Word, PowerPoint, Excel, Teams)

A day in the life of a Consultant 

No two days are the same, but your key responsibilities include:

  • Prepares agendas, activity reports, critical paths and contact reports
  • Uses critical paths/workback plans and client planning documents to identify and begin work product to meet deadlines
  • Flags potential challenges and opportunities with senior team members and proposes solutions
  • Serves as liaison between GCI Canada and suppliers, media and influencers through email correspondence, telephone conversations and virtual and in-person meetings, with guidance from senior team members
  • Carries out media relations activities such as: writing first drafts of media materials such as pitches, advisories, news releases, matte stories, invitations; coordinating distribution of media materials; conducting media relations to secure interviews, news coverage and attendance at events
  • Works with the team to execute influencer programs, including identification, relationship building and measurement
  • Researches venues, suppliers and coordinates logistical arrangements for special events
  • Helps with digital community management, including developing editorial calendars, posting content, and flagging comments for response
  • Uses web and social media analytics platforms to measure campaign success and provide data-backed recommendations for optimization
  • Contributes ideas to program development
  • Helps incorporate objectives, strategies, timetables and budgets into client plans

What you’ll bring 

  • Minimum two years working in communications/public relations (agency experience is preferred)
  • A degree or certification in Public Relations or Communications is preferred
  • Demonstrated ability to work in a team environment, with media and influencers, and with suppliers and vendors
  • Strong ability to multitask, work independently, manage time, prioritize and meet competing deadlines
  • Excellent attention/commitment to accuracy, detail and quality
  • Flexible with the ability to manage spontaneous, last-minute tasks and assignments
  • Demonstrated understanding and experience with media monitoring tools, social media, and influencers tools
  • Strong research, writing, and interpersonal skills
  • Desire to meet and exceed expectations, and to deliver outstanding service

Public Relations Intern

 

Duration – 12 weeks or based on program requirements

A day in the life of an Intern

No two days are the same, but your key responsibilities include:

  • Monitor and track media and influencer coverage in real-time
  • Develop and update meeting agendas and status reports
  • Manage research, reporting and measurement for clients, under supervision
  • Research and order materials for client programs, as required
  • Prepare briefing notes for clients, as directed
  • Develop and maintain work back schedules / critical paths
  • Create and update media and influencer lists, under supervision
  • Develop and maintain editorial calendars as required based on project needs
  • Develop media materials first drafts (e.g., social media copy, news releases, media pitches, ) and conduct media/influencer outreach and follow-up
  • Coordinate media materials distribution
  • Proofread communications materials
  • Participate in creative brainstorm sessions for existing clients, new business prospects and internal purposes
  • Assist with special events and event planning
  • Other administrative duties as required and assigned
  • Note: Computer proficiency in a variety of programs is required, notably Microsoft Office (Outlook, Word, PowerPoint, Excel, Teams)
